The Opportunity:
We are looking for a full-time Director of Admissions to join our team at our Oakville Elementary Campus and make a positive difference at Rotherglen School. The Director of Admissions position is a 12-month position.
Reporting directly to the Head of School, and guided by the School’s Vision, Mission and Values, the Director of Admissions is responsible for managing the school’s admission process from inquiry to integration into the school, overseeing all admission events, school advertising and marketing, and working closely with the leadership team to promote the school with the purpose of attracting new families and retaining current enrollment.
Accountabilities:
- Lead the admissions office, managing all aspects of student enrollment
- Oversee the advertising and marketing materials, mailings, and publications for admissions
- Manage the admissions database
- Present the school to prospective students and parents, which includes systematic and efficient handling of applications and communication with candidates and their parents; interviews with candidates and their parents; arrangements for admissions testing and class visits; securing of necessary student credentials; and communicating final decisions to the appropriate individuals
- Evaluate continually and redesign where appropriate all aspects of the admissions process and marketing program with the goal of maintaining a strong enrollment of students
- Manage the re-enrollment of current students for the succeeding year
- Maintain relevant statistics on all aspects of the admission and re-enrollment program (admissions funnel, weekly administrative updates on enrollment numbers, departing students, open house attendees, etc.)
- Represent the school at all Open Houses, school events, gatherings, and conferences.
- Assist with class placements with the Director of Academics
- Communicate with new families in October to discuss the transition to Rotherglen
- Maintain OSRs
- Maintain Filemaker Database and SchoolAdmin Database– family contact information, student placement, student enrollment.
- Monitor tuition and Learning Success Centre student enrollment

Qualifications
- Post-Secondary Education
- Bachelor of Education or Montessori Diploma (an asset)
- Master’s Degree (an asset)
- A minimum of 5 years’ experience in private/independent school
- Previous admissions experience is an asset

The Opportunity:
We are looking for a part-time (.5) Admissions Associate to join our team at our Oakville Elementary Campus and make a positive difference at Rotherglen School. The Admissions Associate position will combine with other responsibilities within the school, depending on the candidate’s skills and qualifications, to create a full-time position. The Admissions Associate role includes preparation work over the summer.
Reporting directly to the Director of Admissions, and guided by the School’s Vision, Mission and Values, the Admissions Associate plays a key role in the administration of the Admissions Office. The Admissions Associate is pivotal in communicating and building relationships with prospective, new, and existing families. Working closely under the leadership of the Director of Admissions, the Admissions Associate will work to promote the school with the purpose of attracting new families and retaining current enrolment.
Accountabilities:
- Assist in touring new & prospective families through our school, speaking knowledgeably about our facilities, curriculum, and programming for our students
- Assist in the management of our Admissions database,
- Assist in creating, administering, and evaluating student entrance testing
- Assist in the communication with new and prospective families throughout the admissions process
- Play a key role in maintaining relationships with existing families throughout the school year
- Play a key role in analyzing admissions funnel/data
- Assist in planning and preparing for Open Houses each year
- Manage Ontario School Records (OSRs) for new, existing, and departing students
- Assist with re-enrolment of existing students and campus transfers
- Assist in the process of class placement of new and existing students
- To perform other duties as assigned by the Director of Admissions
