School Secretary 

Rotherglen School is seeking a School Secretary for its Oakville Elementary Campus. 

We are a JK to Gr. 8, private, co-educational, non-denominational school with four campuses in Mississauga and Oakville, enrolling approximately 1,000 students. 

Start Date: mid to late November  2025 [includes shadowing period of current Secretary, who is retiring]

Schedule: Full- time; 5 days per week; 8:00 a.m. to 4:00 p.m.; 12 months [reduced summer hours of 9:00 a.m. to 3:00 p.m.]

Pay: $50, 000 to $55, 000 depending on experience and qualifications 

Benefits: Extended health [prescription, dental, EAP]

Vacation: As per Academic calendar from September to June [Winter Break (2.5 weeks), March Break (1 week); 2 weeks in July/August]

Reports to: Front Office Co-ordinator 

Job Description: 

You will be a member of the administrative team and will assist in day-to-day front office activities of the school.  You will be a key ambassador of Rotherglen School as you will the first point of contact for our community 

Qualifications:

 College diploma in Office Administration preferred

Experience:

  • 2-5 years of relevant experience in a school/childcare office or other Office/customer experience preferred

Skills:

  • Strong written and verbal communication skills
  • Strong interpersonal skills
  • Proficiency with Google Workspace (Formerly G-suite), Excel, Microsoft Word 
  • Friendly, kind, and patient personality
  • Ability to work as a member of a professional team 
  • Great attention to detail and positive conflict management skills

General Duties and Responsibilities

  • Greet visitors; ensure visitors sign -in and wear a visitor badge 
  • Monitor front entrance doors and cameras, allowing authorized people to enter 
  • Receive deliveries/mail/dropped off items from families 
  • Attend to injured/sick children [band-aids, ice packs, check temperatures]
  • Communicate with families about illness/injuries 
  • Complete/oversee Accident Reports 
  • Answer phone calls, transfer calls, and reply to email inquiries, questions or concerns, and/or direct to the appropriate staff member 
  • Be current on school functions, events, and activities so inquiries can be answered with ease and accuracy
  • Provide Administrative support to Front Office Coordinator [i.e.,student attendance, filing] 
  • Create /organize folders for: Allergies, Fire Drill, Lockdown, Treatment Plans, supply teachers 
  • Organize and update medications [asthma, epi-pens]
  • File documents
  • Enter date using Edsby and Filemaker 
  • Help shape and uphold the vision/culture of the school
  • Other duties as assigned 

Non-office duties:

  • Arrivals: Greet children outside from 8:00 a.m to 4:00 p.m.
  • Dismissal: Supervise 1 class outside/foyer from 3:00 to 4:00 p.m.
  • Teacher Coverage: supervise class when teacher needs washroom break
